Position: Virtual Assistant

Schedule: Monday to Friday, US (Pacific Standard Time) Business hours

Salary Range: 800 – 1500 USD/month (to be assessed and approved by the client based on the candidate‚Äôs experience, knowledge, skills, and abilities)

Responsibilities:

  • Provide exceptional customer service to both internal and external stakeholders by promptly responding to emails and phone calls as necessary.
  • Manage bookkeeping tasks to ensure accurate financial records.
  • Prepare reports and correspondence to support organizational communication needs.
  • Coordinate the procurement of supplies and equipment, as well as maintenance of service contracts.
  • Attend meetings and compile comprehensive meeting notes.
  • Facilitate communication and collaboration between internal and external units to accomplish job tasks effectively.
  • Assist managers and supervisors in the development and implementation of policies and procedures.
  • Offer front desk coverage when required to ensure seamless operations.
  • Arrange travel authorizations, accommodations, and conference registrations for employees.
  • Audit and process travel expense claims, including handling mileage reimbursement requests.
  • Maintain meticulous records of accounts payable and receivable.
  • Resolve vendor-related issues pertaining to shipments, billing, and statements.
  • Monitor expenditures, process payment requests, and manage purchase orders and requisitions.
  • Ensure accuracy and compliance in invoices, promptly processing payments for departmental bills.
  • Administer payroll processes accurately and efficiently.
  • Undertake various administrative tasks to support departmental operations.
  • Oversee departmental hiring procedures to ensure compliance and efficiency.
  • Coordinate event planning for meetings, professional development sessions, and other departmental initiatives.
  • Fulfill any other related duties as assigned, contributing to the overall efficiency and effectiveness of the organization.

Requirements

  • Minimum of 4 years of experience as a Virtual Assistant/Accountant/Bookkeeper, demonstrating proficiency in various administrative tasks and remote support.
  • Advanced proficiency in Microsoft Tools and Google Suite, including but not limited to Word, Excel, PowerPoint, Gmail, and Google Drive.
  • Exceptional communication skills, both written and verbal, with the ability to effectively interact with clients and colleagues.
  • Strong attention to detail, ensuring accuracy and precision in all tasks and communications.
  • Demonstrated organizational skills, capable of managing multiple tasks and priorities efficiently.
  • Proven ability to meet deadlines consistently, maintaining productivity and quality under pressure.
  • Self-motivated and proactive, capable of working effectively with minimal supervision while maintaining high standards of performance and professionalism.
