Job Role: Virtual Assistant (Administration, Accounts and HR Support)
Work Schedule: Monday – Friday 9 AM – 5:30 PM (AU Time Zone)
Salary range:             $1500 – 2000 AUD

Who The Client Is: A trusted Australian mental health provider. They specialize in evidence-based psychological services for both adults and adolescents, offering tailored treatment for a wide range of mental health conditions.

Role Overview: We are seeking a highly organized and proactive Virtual Assistant to support our growing team with administrative, bookkeeping, and HR-related tasks. This role is ideal for someone who thrives in a dynamic environment, values mental health services, and can handle sensitive information with professionalism and discretion. 

Key Responsibilities:

Administrative Support

  • Manage calendars, schedule appointments, and coordinate meetings
  • Handle email correspondence and phone inquiries professionally
  • Maintain and organize digital files and documentation
  • Assist with preparing reports, presentations, and internal communications
  • Coordinate travel arrangements and manage logistics as needed
  • Provide general office support to clinicians and leadership team

Bookkeeping Support

  • Record and reconcile financial transactions using accounting software (e.g., Xero or MYOB)
  • Issue and follow up on invoices and payments
  • Assist with accounts payable and receivable
  • Maintain accurate and up-to-date financial records
  • Collaborate with external accountants or finance consultants as needed
  • Prepare monthly financial summaries or reports for internal review

HR Support

  • Support recruitment efforts (e.g., posting job ads, screening candidates, scheduling interviews).
  • Maintain employee records and ensure compliance with privacy and documentation standards.
  • Coordinate onboarding and offboarding processes.
  • Assist with tracking timesheets, leave requests, and staff attendance.
  • Support workplace wellness initiatives and employee engagement activities.
  • Ensure adherence to internal HR policies and relevant employment laws.

Qualifications:

  • Proven experience as a virtual assistant or in administrative, bookkeeping, or HR support roles.
  • Proficiency with tools such as Microsoft Office, Google Workspace, and cloud-based platforms.
  • Familiarity with accounting software (e.g., Xero, MYOB, QuickBooks).
  • Understanding of basic HR processes and Australian workplace compliance is highly desirable.
  • Exceptional organizational and communication skills.
  • High attention to detail and ability to maintain confidentiality.
  • Self-starter with the ability to work independently and meet deadlines.
  • Experience in healthcare, mental health, or allied health industries is a plus.
