Seeking a proactive, self sufficient administrative assistant that is excellent at multitasking in a fast paced environment with little supervision to assist our Business support manager.

Overview:
As an Administrative Assistant, you’ll play a pivotal role in supporting our operations remotely. Your responsibilities will include administrative duties, CRM management, financial tracking, document organization, calendar management, email correspondence, task coordination, research and analysis, expense management, project support, and general administrative tasks.

Your day to day duties may include :

  • Administrative Duties for property management team: Screening potential applicants, reconciling accounts, processing orders, and CRM auditing.
  • Financial Tracking: Implementing PNL tracking, managing tax-related responsibilities, reconciling accounts and QuickBooks duties.
  • Document Management: Maintaining document storage, organizing customer data, and assisting in documenting organizational processes.
  • Travel Coordination: Coordinating travel arrangements, and managing appointments.
  • Email and Correspondence: Managing and prioritizing email correspondence, drafting communications on behalf of executives.
  • Task Coordination: Organizing and prioritizing tasks, following up on action items and deadlines.
  • Event Research and Analysis: Conducting research on various topics, summarizing findings, and providing recommendations.
  • Expense Management: Tracking and reconciling expenses, preparing expense reports.
  • Project Support: Assisting with project coordination, scheduling meetings, tracking progress, and managing documentation.
  • Other Administrative Tasks: Providing general administrative support, answering phones, ordering supplies, and maintaining office equipment. Experience with zoom phone client a plus

Requirements

Preferred Experience:
– 2+ years of administrative experience in operations or back end support role.
– 1+ years of experience in QuickBooks Online.
– 1+ years in Microsoft Office (especially Excel) and Google Suite.

– Common sense and willingness to take initiative
