Overall purpose and responsibilities of the role:

The Payroll and HRIS (Human Resources Information System) Specialist plays a crucial role in managing the payroll process and ensuring the smooth functioning of the company’s HR systems. The Payroll and HRIS Specialist is responsible for overseeing the payroll process and managing the organization’s Human Resources Information System. They ensure accurate and timely processing of payroll, maintain employee records, and implement HRIS enhancements to streamline HR processes.

Requirements

Duties and Responsibilities:

Payroll Processing:

  • Manage the end-to-end payroll process, including data entry, calculation of wages, deductions, and taxes.
  • Ensure accuracy and compliance with company policies, legal requirements, and tax regulations.
  • Process payroll adjustments, bonuses, and incentives accurately and in a timely manner.
  • Address payroll-related inquiries from employees and management.
  • Manage the 401(k)-process including compliance testing and assist with benefits related transactional tasks.

HRIS Management:

  • Develop, configure, and research the HRIS to meet ongoing business needs.
  • Administer and maintain the HRIS database, including employee records, timekeeping, and benefits information.
  • Perform various payroll and data integrity audits as needed.
  • Collaborate with IT and HR teams to implement system upgrades, enhancements, and integrations.
  • Generate reports and analyze HRIS data to support decision-making and compliance requirements.
  • Provide training and support to employees on HRIS functionality and best practices.

Compliance and Reporting:

  • Stay up to date with federal, state, and local payroll and employment laws and regulations.
  • Ensure compliance with payroll tax filings, reporting requirements, and audits.
  • Prepare and distribute payroll reports to management and finance departments as needed.
  • Conduct remote audits of payroll and onboarding processes, identifying areas for improvement.
  • Collaborate remotely with HR and Finance to verify employee data and ensure data integrity across platforms.

Process Improvement:

  • Identify opportunities to streamline payroll and HRIS processes and enhance system efficiency.
  • Participate in the evaluation, selection, and implementation of new HRIS software or modules.
  • Develop and maintain payroll and HRIS policies, procedures, and documentation.

Cross-functional Collaboration:

  • Collaborate with Finance, Accounting, and HR teams to reconcile payroll-related accounts and resolve discrepancies.
  • Partner with the HR team to address employee inquiries and support HR initiatives.
  • Coordinate with external vendors, such as payroll service providers and software vendors, as needed.
  • Support key HR annual processes: performance management, year-end close, promotions and merit increase, etc.

Must-have Skills / Qualification:

  • Bachelor’s degree in accounting, data analytics, business administration, or related field.
  • 3-5 years of experience in multi-state payroll processing and HRIS administration.
  • In-depth knowledge of U.S. multi-state payroll laws, regulations, and best practices.
  • Proficiency in payroll software and HRIS platforms.
  • Strong analytical skills with the ability to interpret data and generate reports.
  • Advanced Excel knowledge (pivot tables, V-lookups, etc)
  • Excellent attention to detail and accuracy.
  • Strong analytical and problem-solving skills.
  • Effective communication and interpersonal skills.
  • Must have experience working a Night shift schedule
  • Ability to handle sensitive and confidential information with discretion.

Advantageous:

  • Global payroll experience is a plus.
  • Knowledge of Paylocity is a plus.
  • Certification in payroll administration (e.g., CPP) is a plus.
  • Advanced data analytics skills (SQL, Power BI, Microsoft Excel) to extract meaningful insights from complex data sets and enhance reporting capabilities is a plus.
