Extenteam is currently looking for a Remote HR Onboarding Specialist to undertake the following tasks:

Job Summary:The HR Onboarding Specialist is responsible for ensuring a smooth and efficient onboarding process for newly hired Team Members. He or she will be in charge of guiding new hires through the orientation process, providing them with essential information, including the company’s culture, values, policies, and procedures.

Key Responsibilities:
1.       Onboarding Coordination
Send detailed onboarding checklists to new team members, outlining the requirements for a successful onboarding process.
Coordinate with the IT department for technical assessment and to ensure all necessary access is provided to the new hires.
Create access to some of the tools: Hubstaff and Freshteam.
2.       HR Orientation
Conduct HR orientations for new team members, introducing them to the company’s culture, values, policies, and procedures.
Address any questions or concerns related to HR matters and provide clarity on benefits, company policies, and expectations.
3.       Documentation and Compliance
Prepare job offers and independent contractor agreement.
Ensure that all required documentation, such as the signed independent contractor agreement, W8-BEN, ID, and other government-related forms, is filed in each team member’s profile in Freshteam.
4.       Support and Guidance
Provide support and guidance to new team members during their first 30 days, assisting with any challenges or questions they may have.
Foster a positive onboarding experience by facilitating and maintaining open communication.
5.       Partner Endorsement
Ensure that the team members will be endorsed to Partner Success as soon as they complete the HR orientation and pass IT’s technical requirements.
Ensure that the details of the onboarding call are well communicated to the team members and send an email reminder prior to the scheduled call.
Ensure that team members are well prepared and will attend the scheduled onboarding call.
6.       Handoff to HR Generalist
Coordinate the transition of team members to HR Generalists after they have completed their initial 30-day nesting period.
Ensure all necessary information, including performance feedback, challenges, and concerns of the team members, is provided and handed over seamlessly to the HR Generalists.

Requirements

Skills and Qualifications:

  • Strong organizational skills
  • Proficiency in tools like Hubstaff and Freshteam for setting up necessary accesses.
  • Excellent presentation and communication skills
  • Knowledge of company culture, values, policies, and procedures.
  • Ability to address and resolve HR-related inquiries and concerns.
  • Must be detail-oriented.
  • Familiarity with document management and filing, ensuring compliance with government-related forms.
  • Experience in maintaining organized records in HR software, such as Freshteam.
  • Empathetic and approachable demeanor to provide support and guidance to new team members.
  • Problem-solving skills to assist with challenges and inquiries.
  • Strong interpersonal skills are needed to foster positive onboarding experiences through open communication.
  • Effective knowledge transfer abilities to convey performance feedback, challenges, and concerns.
  • Collaboration skills to ensure a smooth transition of responsibilities to HR Generalists.

TECHNICAL REQUIREMENTS:
– Internet speed minimum 30mbps
– i5 8th Gen or higher
– Windows 10 / MacOS Catalina or higher
– Minimum of 8 GB RAM
– Private and quiet dedicated home office area (no roosters, dogs, children’s noises in the background)
– Back-ups in case of power or internet provider interruptions
– Good headset and webcam (preferably noise-canceling headset)
