Unicorn Role Overview: We are seeking a dependable and proactive Real Estate Executive Admin Assistant to support our client’s executive team! As a Real Estate Executive Admin Assistant, you will ensure the smooth flow of day-to-day operations, manage executive schedules, organize important documents, perform administrative duties, and coordinate with different teams within the company. The ideal candidate will be a communication ace, supremely organized, reliable, and have a keen eye for detail. What You’ll Do

  • Oversee scheduling and prioritize emails, calendar events, and Slack communications, acting as a gatekeeper of time and availability for executives.
  • Identify and address urgent client needs promptly, including preparing follow-up and recap emails after meetings and coordinating introductory emails to ensure clients are well-informed.
  • Manage updates and maintain accuracy in Follow Up Boss, ensuring all client and prospect data are up-to-date.
  • Coordinate meeting logistics, including schedules, materials, agendas, and confirmations, while also handling travel arrangements like booking flights and accommodations.
  • Support executive administrative needs by tracking bills and expenses, pulling leads, generating reports from our database, and collaborating closely with founders.
  • Ensure confidentiality and discretion with sensitive information, handle general administrative tasks, and support miscellaneous ad-hoc tasks, including creating presentation slides for events.

  • Proficiency in email and calendar management tools.
  • Experience in travel booking and coordination.
  • Discretion and confidentiality in handling sensitive information.
