Operations Manager
Visit.org is looking for a passionate and ambitious Operations Manager to join our remote team. The right candidate will have an entrepreneurial spirit, extreme passion for our mission, and the energy and discipline to come in and be a builder in a start-up tech environment.
Please note: This is a remote, Mexico-based 40 hr/week contract position that requires working hours from 9:00 AM – 6:00 PM EST

Responsibilities:
- Coordinate meeting schedules and agendas with attendees across global time zones, and internal and external stakeholders
- Support business operations, including insurance, compliance, people ops, budgeting, external partnerships, and new vendor management/implementation
- Book and manage global company travel, accommodations, and itineraries
- Create and maintain reports and presentations as directed, including meeting notes, project documentation, process maps, and other documents
- Identify areas for process improvement and cost reduction, and implement solutions for company-wide and cross-departmental processes, procedures, and workflows
- Contribute to the development of annual budgets and forecasts for operational expenses
- Manage relationships with key vendors, suppliers, and external partners to ensure smooth operational flow
- Assist with data entry and reporting
- Support cross-functional teams with administrative support and coordination, and refine internal practices to enhance productivity and efficiency
- Commercial contract review: assist in reviewing NDAs, vendor agreements, service contracts, etc. to flag risks, suggest edits, and ensure terms align with company policies
- Template management: help maintain and update internal contract templates in coordination with leadership and legal advisors.
- Legal research: conduct basic research on commercial, privacy, or employment regulations
- Liaise with teams (sales, operations, finance, etc.) to understand contract requirements and communicate legal considerations clearly
- Help develop workflows to streamline legal document review and approval processes for a growing organization
- Draft simple agreements or contract amendments using templates under the guidance of legal counsel or leadership
Requirements
- Past experience working as an executive assistant to C-Level, legal assistant, compliance manager, project manager or similar
- Experience reviewing policies, contracts or agreements
- Experience planning and booking corporate events
- Languages: strong written/spoken English (contract-level proficiency required)
Skills:
- Familiarity with key commercial contract terms (indemnity, confidentiality, termination, liability, etc.)
- Extremely organized with strong attention to detail, with the ability to identify legal risk in simple contracts
- Able to multitask, problem-solve, work independently, and manage many projects and priorities at once
- Experience coordinating and managing communications of multiple projects at once
- Demonstrates a strong desire for growth or learning and keeping up to date on industry and management trends
- Excellent communication and interpersonal skills
- Experience working in a fast-paced startup environment
- Comfortable using technology systems and conducting data analysis
- Proficiency in Google Workspace or Microsoft Office; familiarity with DocuSign, Dropbox, Monday.com, or similar tools is a plus
- Passion for our mission and the desire to make an impact in the world through technology
Bonus Points For:
- Experience supporting U.S.-based or international startups
- Familiarity with contract management systems or CRM platforms (e.g., HubSpot, Ironclad).
- Interest in business operations, tech, social impact, or compliance
- Experience working in a fast-paced startup environment
