Operations Coordinator
The Operations Coordinator is an essential part of the therapy practice, supporting daily administrative and operational functions to ensure smooth and efficient workflows, reporting directly to the Manager. This role coordinates scheduling, billing, client relations, regulatory compliance, and internal communication. Through these responsibilities, the Operations Coordinator contributes to delivering a high-quality experience for both patients and staff.
Key Responsibilities:
1. Administrative Support:
- Support data entry, report preparation, and EHR maintenance.
- Help coordinate internal meetings, calendars, and communications.
2. Operational Coordination:
- Assist with managing daily practice operations including billing, scheduling, and staff communication.
- Monitor operational income and expenses and ensure cost-efficiency.
- Oversee billing practices and revenue cycle processes.
3. Staff & Workflow Support:
- Collaborate with administrative and support staff.
- Foster a positive and professional work environment.
- Help develop and maintain operational policies and procedures.
- Coordinate with clinical staff to align administrative and clinical operations.
4. Compliance & Reporting:
- Ensure compliance with federal, state, and local health regulations (e.g., HIPAA, OSHA).
- Coordinate licensing, certifications, audits, and inspections.
- Implement quality improvement initiatives to enhance service delivery and patient satisfaction.
5. Technology & Systems:
- Oversee electronic health records (EHR) systems and other digital tools:
o ClinicSource
o Google Workspace
o Microsoft Office
- Have access to standard computer hardware (e.g., laptop or desktop, webcam, microphone) and a reliable high-speed internet connection to support 100% remote work.
Requirements
Education & Experience:
- Associate’s or Bachelor’s degree in Healthcare Administration, Business, or related field preferred.
- 1–3 years of experience in a healthcare or administrative support role.
- Experience with electronic health records (EHR) systems (ClinicSource preferred).
Skills & Competencies:
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Detail-oriented with the ability to meet deadlines.
