Operations Assistant to the VP of Accreditation and Compliance (Philippines)

The Role
Your role is to assist the Vice President of Accreditation and Compliance on a daily basis, handling a variety of support tasks including managing a Notion backlog, reviewing student files, and setting agendas for 1:1 meetings. This position requires a strong ability to prioritize tasks, meet deadlines, and maintain confidentiality. In addition, the ability to efficiently handle both routine and complex responsibilities, while demonstrating strong problem-solving and communication skills, is essential.
Key Responsibilities:
- Executive Support:
- Provide high-level administrative and operational support to the VP of Accreditation and Compliance
- Prepare correspondence, reports, and presentations
- Handle confidential information with discretion
- Manage a complex calendar, schedule meetings, and coordinate travel arrangements as needed
- Operational Support:
- Manage and update Notion pages and tables
- Organize and maintain electronic files
- Generate reports on team productivity
- Perform data entry and other administrative tasks as needed
- Project Management:
- Assist in the tracking and monitoring of prioritized projects and tasks
- Follow up with colleagues and stakeholders to gather updates and ensure project timelines and deliverables are met
- Deliver formal and informal reports on the status of projects and progress on KPIs
- Compliance Support:
- Assist in maintaining compliance with accreditation standards and regulations
- Conduct research and analysis as required
- Prepare and submit required documentation
Requirements
Qualifications
- At least 3 yrs of experience as a remote Executive VA, supporting C-Level roles
- At least 2 yrs of experience in using Notion OR managing electronic files and records
- Bachelor’s Degree required, Master’s degree preferred
- Experience as a Project Assistant is a plus
- Strong organizational and time management skills
- Excellent attention to detail and accuracy
- Proficiency in Google Workspace applications
- Ability to work independently and as part of a team
- Strong interpersonal and communication skills
- Strong analytical and problem-solving skills
Work Requirements:
- Based in the Philippines
- Ability to work during PST business hours
