Marketing Administrator

This position will report to the Director, Marketing. This position can be remote within Cape Town, with the ability to work from our AWCape office as required. Alternatively, it can be based remotely in the Gauteng province, with the flexibility to travel to the Cape Town office as required.
Key Responsibilities
Global Support & Cross-Regional Collaboration
- Operate within a global framework, ensuring adaptability to support teams, meet deadlines, and participate in virtual meetings across multiple time zones, including Canada, South Africa, the U.K., and the U.S.
- Collaborate with international stakeholders, adjusting to varying schedules and regional marketing priorities as needed.
- Facilitate seamless communication and coordination across global teams to drive marketing initiatives and brand consistency.
- Maintain flexibility in scheduling to accommodate time-sensitive marketing campaigns and cross-regional collaboration.
Project & Workflow Coordination
- Maintain up-to-date campaign timelines, master calendars, and shared documentation.
- Coordinate internal project deliverables using tools such as Monday.com or ClickUp.
- Proactively flag bottlenecks and help keep marketing initiatives on track.
- Support the preparation of briefs, decks, and internal/external documentation.
- Keep internal systems and documentation organized and optimized for collaboration.
Administrative & Internal Support
- Schedule and coordinate cross-functional meetings across global time zones.
- Provide operational support for launches, syncs, and vendor communications.
- Assist with administrative support for the Marketing Director and leadership team.
Internal Communications & Culture
- Partner with HR, branding, and internal comms to coordinate internal engagement campaigns (e.g., team features, hiring announcements, culture decks).
- Support planning and execution of employee events, policy rollouts, and recognition programs.
- Collaborate with teams to maintain a consistent and engaging internal communication rhythm.
Marketing Execution & Asset Management
- Help manage the end-to-end execution of campaigns, including asset collection, formatting, and approval tracking.
- Support with email scheduling, webinar coordination, and social media posting as needed.
- Assist with content development and branding for both internal and client-facing materials.
Digital Marketing & Analytics
- Assist with pulling campaign data and preparing reports for internal stakeholders.
- Support alignment between SEO, social media, and paid marketing efforts.
- Leverage AI tools for summarizing meetings, drafting communications, and content ideation.
AI & Process Optimization
- Identify opportunities to streamline tasks using automation or AI (e.g., ChatGPT, Fireflies.ai).
- Stay open to new tools that improve operational efficiency and output quality.
- Champion repeatable systems that help the team move smarter and faster.
Marketing Meetings and Internal Collaboration
- Attend and document all global marketing meetings, ensuring action items are completed.
- Work closely with Sales and Operations teams to streamline processes.
- Provide administrative and strategic support to the Director, Marketing, Sales and Operations Leadership
- Other duties as needed.

Requirements
Qualifications
- Experience: 2+ years in a regional marketing coordination, sales support, or marketing support role
- Bachelor’s degree or equivalent experience in Business, Sales, Marketing, or a related field or in lieu of degree 4+ years of relevant experience.
- Strong command of Microsoft Word, Excel, PowerPoint, and Google Suite, with hands-on experience in Google Ads, Google Analytics, and marketing automation tools.
- Experience using HubSpot for CRM and marketing automation, Canva for design, ChatGPT for content generation, and Asana for project management.
- Solid understanding of SEO principles, social media management, digital advertising, and content marketing.
- Proven ability to develop marketing collateral, newsletters, email campaigns, and content strategies that align with regional and global marketing initiatives.
- Ability to navigate multi-regional marketing strategies, ensuring messaging consistency across diverse markets while adapting to local audience needs.
- Experience coordinating marketing events, industry conferences, and sponsorships, with a strong focus on ROI-driven marketing strategies.
Preferred Qualifications
- Prior experience in B2B SaaS marketing or within the outsourced accounting industry.
- Understanding of financial software solutions and cloud-based ERP platforms like Sage Intacct or similar.
- Familiarity with lead generation strategies specific to accounting, finance, and professional services sectors.
- Experience managing co-branded marketing efforts with software vendors, partners, or resellers.

Work Environment
Work can take place either in an open office setting or remote setting with the expectation to travel onsite based on business and management needs. This is a full-time position that requires the ability to work a flexible and regular full-time schedule. It requires the ability to sit and work at a computer for extended periods of time and communicate effectively with a diverse audience in person, by phone, and by computer.
