HR Coordinator VA
Summary:
As a Virtual Assistant (HR Coordinator) in the Human Resources department, you will be responsible for providing administrative support to both the HR Manager and Talent Acquisition Specialist, to streamline HR processes and ensure efficient operations. Your main responsibilities will include:
Responsibilities:
- Entering new job descriptions into the company’s applicant tracking system (Workable) to facilitate the recruitment process.
- Sourcing through resumes and forwarding relevant candidates to the appropriate HR personnel for consideration.
- Sourcing for potential candidates on LinkedIn by boolean strings and searches and sending any relevant candidates to Talent Acquisition Specialist.
- Coordinating and scheduling interviews, liaising between candidates and interviewers to ensure a smooth process.
- Assisting in communication with recruiting agencies as needed, maintaining professional and timely correspondence.
- Conducting internal audits regarding I-9 and E-Verify documentation to ensure compliance with legal requirements.
- Organizing and maintaining files within Google Drive, ensuring easy access and confidentiality of HR-related documents.
- Assisting in confirming state setup within the human resources system (Rippling), collaborating with HR team members to ensure accurate employee data management.
- Assisting with onboarding new hires, including coordinating paperwork, scheduling training sessions, and providing support as needed.
Requirements
- 2+ years of experience in Human Resources and/or sourcing and recruiting
- Proven experience as a Virtual Assistant or in a similar administrative role, preferably within a Human Resources department.
- Familiarity with United States employment compliance
- Familiarity with applicant tracking systems (e.g., Workable), HRIS platforms (e.g., Rippling), and other relevant HR tools.
- Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
- Ability to handle sensitive and confidential information with discretion.
- Proficiency in Google Suite (Docs, Sheets, Drive) and other relevant software applications.
- Ability to work independently in a remote environment while maintaining a high level of productivity and accountability.
Preferred Qualifications:
- Knowledge or experience with recruitment sourcing and creating boolean strings and searches.
- Knowledge of resume scanning for preferred skill sets needed for open roles.
- Knowledge or familiarity of employment laws and regulations, particularly related to recruiting and onboarding processes within the United States.
- Experience in conducting internal audits or compliance-related tasks.
- Previous experience in a fast-paced and dynamic work environment.
