HR Administrative Specialist – Healthcare
About the Role:
We are seeking a detail-oriented and proactive Healthcare HR Administrative Specialist to join our growing healthcare team. The ideal candidate will have prior experience supporting U.S.-based clients, particularly in administrative and HR-related functions. This role involves recruitment support, training coordination, employee file management, and benefits tracking — all while ensuring a seamless virtual office workflow.
Key responsibilities:
- Provide support with sourcing and coordinating potential candidates through various platforms (e.g., job boards, referrals)
- Help monitor team activity and participation in scheduling tools and internal systems
- Assist with tracking onboarding and retention efforts, ensuring timely follow-up during the initial employment period
- Conduct reference verifications and assist in maintaining up-to-date staff documentation
- Manage digital employee records, monitor document submissions, and support compliance tracking
- Coordinate surveys, staff engagement activities, and post-exit tasks such as gift card processing
- Support training coordination, such as scheduling sessions, maintaining attendance logs, and managing staff certifications
- Ensure staff are assigned training materials in the appropriate platforms and assist with login issues or updates
- Schedule recurring administrative tasks such as background checks, system access, and benefits tracking
- Support general office workflows and documentation needs as directed
Requirements
Education:
- Bachelor’s degree in Healthcare Administration, Business Administration, or a related field preferred (not required).
Experience:
- Proven experience (2+ years) in HR or administrative operations supporting U.S.-based organizations.
- Experience using ATS tools or recruitment platforms for tracking applicants and managing job listings
- Strong organizational skills and the ability to manage multiple priorities remotely
- Familiarity with common tools such as Google Workspace, Microsoft Office, scheduling platforms, and survey tools (e.g., JotForm)
- Experience working with employee files, onboarding materials, or training workflows is a plus
- Reliable, detail-oriented, and capable of maintaining confidentiality and professionalism in all communications
