Finance & HR Manager: Maternity Leave Cover

FLOWN is a virtual co-working platform providing focus and connection to remote-working professionals.

The company was founded by Alicia Navarro, a serial entrepreneur with multiple exits behind her (Skimlinks being the biggest), and is backed by some of the top VCs and angels in the startup world.

FLOWN is tackling the two big existential crises we face as humans: our eroded ability to focus in a world of distractions, and our isolation and loneliness particularly in a post-COVID world of increased remote work.

We use the neuroscience that helps those with ADHD focus more effectively, to create a platform that serves everyone struggling to focus or beat procrastination at work (the technique is called ‘body doubling‘).

We offer both structured focus sessions led by experienced facilitators (think: gym class for getting stuff done), as well as 24/7 drop-in sessions (think: instant ‘virtual library’ effect), with everyone working silently together for most of it.

We are building a ‘live LinkedIn’ – a synchronous professional network – as well as a communal focus platform for brands and businesses to co-work with their community and employees. Our vision is to transform how we work so it can be a healthy source of joy and fulfilment.

About the role

We are looking for a bright, operationally-excellent HR and Finance Manager to play a crucial role in our team during an upcoming maternity leave period. This unique position offers the rare opportunity to delve into the financial and human resource intricacies of our dynamic organisation, directly impacting our operational success and workplace harmony.

We expect this role to start in late May/early June and last for a minmum of 8 months, there might be an opportunity at the end of the cover to remain in the business depending on the needs and status of the business at the time.

Responsibilities

Here’s some of things you’ll be be responsible for:

Month-end process

    • Assigning budgets to specific teams, reconciling transactions, reviewing all invoices (and querying where necessary), payment runs and updating our management accounts.
    • Report key numbers to the management team and monthly re-forecasting dependent on any changes to the business.

    Financial Reports & Operations

      • Review Quarterly VAT Returns, annual P11ds and annual R&D claim.
      • Prepare accurate financial reports including profit and loss statements, balance sheets, and cash flow statements.
      • Managing the process of paying all suppliers/consultants, as well as invoicing clients and ensuring timely collection of payments.
      • Support the customer success team with any financial queries from our members.

      HR Operations

        • Oversee the entire payroll process, ensuring all employees are paid accurately and on time, and that all deductions are correctly processed
        • Working with our benefits provider to make sure all benefits are being managed effectively.
        • Anticipate future resource needs based on business goals and projects and plan accordingly.
        • Create and update workplace policies

        Team Operations

          • Oversee the recruitment process including drafting job descriptions, posting ads, reviewing applications and organising interviews.
          • Organise team-building activities, gifts and initiatives to foster a positive team engagement, encourage collaboration and communication among team members.
          • Efficiently coordinate the onboarding process for new hires to ensure a seamless integration into our team, and manage the offboarding process for leavers to ensure a smooth transition out of the company.

          Requirements

          We think you’ll need the following experience in order to succeed in the role

          Experience and skills

          • Minimum 3+ years experience working within the Finance/HR team within a startup
          • Experience using and setting up Xero and Stripe to handle subscriptions.
          • Strong analytic ability, good understanding of SaaS business metrics, and a proficiency in GoogleSheets.
          • Experience handling the entire recruitment/onboarding process end to end from drafting JDs to fully onboarding a new team member.
