Executive Virtual Assistant (For Active Pooling)

We are seeking a highly organized and proactive Executive Virtual Assistant to support our client. The Executive Virtual Assistant will handle a wide range of administrative tasks, manage calendars, coordinate meetings, and provide exceptional support to ensure effective time management and productivity. The ideal candidate should possess excellent communication skills, attention to detail, and the ability to anticipate needs and solve problems proactively.

Responsibilities:

  • Manage the executive’s calendar, schedule appointments, and coordinate meetings and conference calls.
  • Prepare and distribute agendas, documents, and presentations for meetings.
  • Act as the primary point of contact between the executive and stakeholders, including clients, partners, and internal teams.
  • Monitor and manage email correspondences, prioritize incoming messages, and draft responses on behalf of the executive.
  • Conduct research, gather data, and prepare reports or presentations as needed.
  • Coordinate and make travel arrangements, including flights, accommodations, and transportation.
  • Assist in the preparation and organization of internal and external events, conferences, and presentations.
  • Screen and prioritize phone calls and inquiries, providing information and redirecting as necessary.
  • Manage and track expense reports, ensuring timely reimbursement and accurate documentation.
  • Maintain confidentiality and handle sensitive information with utmost discretion and professionalism.
  • Identify opportunities to streamline processes and improve efficiency in administrative tasks.
  • Handle any additional ad-hoc administrative or personal tasks requested by the executive.

Requirements

  • Proven experience as an Executive Assistant, Virtual Assistant, or similar role.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong communication skills, both written and verbal.
  • Proficient in using office software and productivity tools (e.g., Microsoft Office, Google Suite).
  • High level of professionalism and integrity, with a strong sense of confidentiality.
  • Strong attention to detail and problem-solving abilities.
  • Proactive and able to anticipate needs and take initiative.
  • Ability to work independently with minimal supervision.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Experience working remotely and using virtual collaboration tools is a plus.
