Executive Coordinator
We are seeking a highly organized and adaptable Executive Travel Coordinator & Executive Assistant to provide top-tier support to a senior executive who splits their time between the United States and Hong Kong. This role is ideal for a dynamic individual with exceptional multitasking abilities, a keen eye for detail, and the capacity to manage complex travel arrangements and personal commitments.
Key Responsibilities:
- Executive Support:
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Manage the executive’s calendar, scheduling meetings, appointments, and conference calls across multiple time zones.
- Prepare and organize documents, reports, and presentations for meetings.
- Travel Coordination:
- Plan, coordinate, and manage all aspects of domestic and international travel, including flights, accommodations, visas, and ground transportation.
- Develop detailed travel itineraries, ensuring all travel arrangements align with the executive’s preferences and business needs.
- Handle last-minute changes to travel plans and provide timely updates to the executive.
- Communication & Liaison:
- Maintain clear and concise communication with the executive and relevant parties, ensuring smooth and efficient operations.
- Draft, proofread, and edit correspondence, emails, and other communication materials.
- Serve as a liaison between the executive and staff, clients, and other stakeholders.
- Personal Assistance:
- Assist with personal tasks and commitments, such as managing personal schedules, appointments, and errands.
- Handle confidential information with discretion and maintain the highest level of professionalism.
Requirements
- Fluency in Cantonese and English is ideal (but not required).
- Proven experience as an Executive Assistant or in a similar role, preferably in a fast-paced, global environment.
- Exceptional organizational and multitasking skills, with a strong attention to detail.
- Strong communication and interpersonal skills, with the ability to interact effectively with individuals at all levels.
- Ability to handle high-pressure situations and make decisions quickly.
- Proficiency in Microsoft Office Suite, Google Suite, and other relevant software.
- Flexibility to work outside of regular business hours.
Preferred Qualifications:
- Experience in travel coordination, particularly for senior executives.
- Familiarity with the United States and Hong Kong, including visa and travel requirements.
- Bachelor’s degree in Business Administration, Communications, or a related field.
