Executive Assistant
We are seeking a proactive and detail-oriented Executive Assistant to support the daily operations of a fast-paced marketing agency. This role is ideal for someone who thrives in a dynamic, remote environment and can manage both administrative tasks and marketing support initiatives.
The ideal candidate is communicative, organized, and quick to learn through self-guided resources, including video-based training.
Responsibilities
Administrative Support
- Manage and organize executive calendars, schedule meetings, and coordinate appointments.
- Handle email correspondence, draft client and internal communications, and ensure timely responses.
- Prepare reports, presentations, and marketing materials with accuracy and professionalism.
- Maintain organized digital filing systems for documents and marketing assets.
Project Coordination
- Track project deadlines and deliverables to ensure timely execution of marketing campaigns.
- Collaborate with creative teams, content writers, and account managers to streamline workflows.
- Assist in delegating tasks and following up on progress to ensure accountability.
Client Communication
- Serve as a liaison between clients and internal teams to manage communications and meet client needs.
- Schedule and coordinate client meetings, prepare agendas, and document meeting notes.
Marketing Support
- Assist in creating and scheduling social media posts across multiple platforms.
- Support email marketing campaigns through content drafting and performance tracking.
- Conduct market research to identify industry trends, competitor activities, and new opportunities.
Data & Reporting
- Update and manage CRM systems with client records and communication history.
- Compile and analyze marketing performance metrics to support strategy development.
- Assist with budget tracking and expense reporting for marketing initiatives.
Requirements
- Proven experience as an Executive Assistant, Virtual Assistant, or in a similar administrative role within a marketing agency.
- Strong organizational and multitasking skills with a keen attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with Google Workspace, Microsoft Office Suite, and project management tools (e.g., Asana, Trello).
- Experience using CRM systems such as HubSpot or Salesforce.
- Familiarity with email marketing tools (e.g., MailChimp, Constant Contact).
- Basic understanding of digital marketing concepts, including SEO and social media management.
- Ability to learn quickly through video tutorials and work independently with minimal supervision.
- Comfortable using platforms such as HubSpot and Slack.
