About This Role
We are seeking a Remote Executive Assistant to support our CEO’s and play a pivotal role in the smooth operation of Prepared Hero. The ideal candidate will be a highly organized, efficient, and discrete professional who can manage a diverse range of administrative tasks and support our executive team’s strategic initiatives. This role is critical for maintaining the efficiency and effectiveness of our leadership, ensuring that our innovative vision and projects progress seamlessly.

Requirements

As a Remote Executive Assistant at Prepared Hero, your responsibilities will include:

  • Managing the CEO’s calendar, including email, scheduling meetings, appointments, and travel arrangements to ensure optimal use of time.
  • Assisting in preparing and organizing documents for meetings, presentations, and other executive communications.
  • Handling confidential information with discretion and integrity.
  • Facilitating internal and external communications, acting as a liaison between the CEO, team members, and external partners.
  • Supporting the executive team in project management and execution, ensuring deadlines are met and projects align with our strategic goals.
  • Assisting in the preparation and monitoring of budgets and expenses.
  • Conducting research and preparing reports that support decision-making.

Qualifications

The ideal candidate for this role should have:

  • Proven experience as an Executive Assistant or similar role, preferably in an ecommerce or tech-oriented environment.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Strong communication skills, both written and verbal, and proficiency in remote communication tools.
  • High level of discretion and confidentiality.
  • Ability to work independently and as part of a team in a remote setting.
  • Experience in managing complex schedules and travel arrangements.
  • Tech-savvy, with proficiency in office management tools (Google Suite, Email Clients, Project Management Software, Slack ) and the ability to adapt to new technologies.
  • A proactive approach to problem-solving and decision-making.
  • Educational background in Business Administration or relevant field is preferred.
