Executive Assistant

We are looking for a dynamic Part-time Virtual Executive Assistant to support our Client with a focus on real estate operations. This role is crucial in managing back-office functions, handling communications, and ensuring the smooth running of various administrative tasks. The ideal candidate will have experience in commercial real estate brokering and be proficient in industry-specific software.

Requirements

  • Manage back-office tasks, including organizing and maintaining files, documents, and databases.
  • Handle emails and phone calls on behalf of the executive, ensuring prompt and professional communication.
  • Collect, analyze, and store data relevant to real estate operations, investor groups, and market trends.
  • Maintain and update databases, ensuring accuracy and accessibility of information.
  • Act as the primary point of contact for investor groups, coordinating communications and meetings.
  • Provide direct support to Matt Shaw, assisting with day-to-day operations and special projects.
  • Utilize industry-specific software, including CoStar, LoopNet, MLS, Realmax CRM, and DTX, to manage real estate listings, track leads, and generate reports.
  • Ensure tasks are completed efficiently and accurately, with a focus on data-driven decision-making.
  • Proactively ask questions and seek out information to ensure a thorough understanding of tasks and responsibilities.

Qualifications and Education:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Minimum of 2 years of experience in commercial real estate brokering or a related field.
  • Proven experience with industry-specific software such as CoStar, LoopNet, MLS, Realmax CRM, and DTX. Or similar.

Experience:

  • At least 2 years of experience in commercial real estate brokering or a similar role.
  • Demonstrated proficiency in using software tools and CRM systems relevant to real estate operations.
  • Experience in managing communications, data collection, and database maintenance in a professional setting.
