Prominence Advisors is actively seeking a 100% remote Full-Time Executive Administrative Assistant. Reporting directly to the CEO, the Executive Administrative Assistant provides support for the Executive Staff.

Requirements

Essential Role Responsibilities

  • Provides comprehensive administrative support to the CEO and Executive Team including calendar management and travel arrangements.
  • Makes domestic travel arrangements for all company personnel keeping expense reduction in mind.  
  • Works independently and within a team on special non-recurring and ongoing projects which may include planning and coordinating multiple presentations, and disseminating information.
  • Focuses on special projects for ownership (i.e. Service Awards, Corporate Charity, Golf Outing and other events). 
  • Coordinates customer visits, company meetings and events.
  • Plans, coordinates and executes 2 in person, all company summits per year.
  • Ensures effective communication is maintained with staff members, team members and customers. 
  • Performs other related duties as assigned by Team Leader(s). 

Essential Skills & Role Qualifications

  • Must be able to maintain a high level of confidentiality and use independent judgment to plan, prioritize and organize diversified workload.  Recommends changes in office practices or procedures.
  • Excellent organizational, interpersonal, communication, planning, technical and problem solving skills.  Ability to communicate on a professional level with Executive Staff and Customers.
  • Energetic action and detail oriented self-starter with strong leadership skills.
  • Team player with the ability to make sound business decisions, work in a multi-tasking environment and adjust to constantly changing priorities. 
  • High level of technology/internet/communications capabilities.
  • Proficient in MS Office (Outlook, Word, Excel and PowerPoint).

Essential Education & Experience  

  • Associates Degree or relevant experience, BS (Preferred)
  • 5+ years administrative experience
  • Proven technical skills
