DP: Event Process Manager

Role Overview:
We are seeking a highly organized and detail-oriented Event Process Manager to join our team. In this role, you will be responsible for ensuring the successful flow of our CTO Dinners, dealing with the main stakeholders and Sales department, managing the organizational aspects, and overseeing a team of event organizers, multiple external vendors and freelancers. This position requires strict adherence to the President’s instructions, following the established processes and a focus on maintaining the highest standards of event execution and the established flow, without the authority to implement new strategies or hold major experiments.
Responsibilities:
- Event Management:
- Fully oversee the execution of CTO Dinners run by a separate team of event organizers, ensuring smooth operations and attention to detail, in alignment with company standards and President’s directives.
- Coordinate with the existing team of event organizers to oversee logistics, invitations, and on-the-ground execution.
- Collaboration and Coordination:
- Collaborate with the lead of the research team responsible for lead generation to ensure accurate and timely attendee targeting and with the Sales team for attendees validation and lists confirmation.
- Manage collaboration with external vendors and freelancers for advertising (Facebook, LinkedIn, etc.) and proofreading to ensure effective promotion and high-quality event materials creation.
- Work closely with a team of designers (without direct management) to ensure all event collateral meets brand guidelines and event requirements.
- Communication and Reporting:
- Act as the primary point of contact between the President and the event organizing team, ensuring clear communication of instructions and expectations.
- Provide regular updates and reports on event progress, addressing any issues promptly and effectively.
- Attention to Detail:
- Ensure meticulous planning and execution of all event details, from venue selection and catering to guest lists and event materials.
- Maintain a high level of accuracy in all aspects of event organization, ensuring a seamless and professional experience for attendees.
- Time Management:
- Efficiently manage time and resources to meet tight deadlines and handle multiple events simultaneously.
- Ensure all tasks are completed on schedule and to the highest standards of quality.
Qualifications:
- Experience:
- People management skills and 3+ years in Lead or Manager role with direct reports.
- Proven experience in event management (4-5 years), preferably in an international and fully remote setting.
- Experience coordinating with diverse teams, including remote workers and freelancers.
- Familiarity with organizing high-profile corporate events, particularly in the tech industry, is a plus.
- Skills:
- Advanced knowledge of English both written and spoken.
- Exceptional organizational and time management skills.
- Strong attention to detail and a commitment to excellence.
- Excellent communication and interpersonal skills, with the ability to work effectively with a wide range of stakeholders.
- Ability to follow instructions meticulously and execute plans without deviation.
- Technical Proficiency:
- Proficiency in using event management and project management software.
- Basic understanding of marketing, digital advertising platforms (e.g., Facebook Ads) and proofreading processes.
- Education:
- Bachelor’s degree in Business Administration, Event Management, Marketing, or a related field is preferred but not required.

- The candidate must be comfortable working in a fast-paced environment and managing multiple tasks concurrently.
- Flexibility and adaptability are key, as the role involves coordinating with various teams and adjusting to different time zones.
Location: Ideally: Latin America region with an overlap of 4-6 hours with the USA time zones.
