Position: Customer Service Representative – Administrative Assistant

Working Hours: 8 am to 5 am, M-F CST

Salary Range: 1,000-  1,400 USD

Dedicated eye care facility committed to providing exceptional service to our patients. We are currently seeking members to join us in assisting with phone calls and light administrative tasks. Our office utilizes cloud-based software, making remote access seamless and efficient.

Scope of the Role 

As a Customer Service Representative/Administrative Assistant, you will play a crucial role in managing incoming calls, handling administrative duties, and ensuring smooth operations within our office. Your responsibilities will include answering phones, managing emails and texts, as well as performing various administrative tasks such as material ordering, invoicing, and email management.

Duties and responsibilities:

  • Answering office phone calls promptly and professionally, addressing patient inquiries and scheduling appointments as needed.
  • Managing all incoming texts and emails, responding in a timely and courteous manner.
  • Handling administrative tasks including material ordering, invoicing, and email management to support office operations.
  • Providing bilingual support in English and Spanish to cater to our diverse patient base.
  • Utilizing Microsoft Office Suite, especially Excel and Word, for various administrative tasks.
  • Collaborating with the team to ensure efficient communication and workflow within the office.
  • Assisting with other administrative duties and special projects as assigned.

Requirements

  • English proficiency (C1) Both reading and spoken.
  • Fluent in both English and Spanish, with excellent verbal and written communication skills in both languages.
  • Proficiency in Microsoft Office Suite, particularly Excel and Word.
  • Minimum of 2 years of relevant experience in customer service or administrative roles.
  • Background in customer service is preferred, with the ability to handle phone calls and inquiries professionally.
  • Strong organizational skills and attention to detail to effectively manage administrative tasks.
  • Ability to work independently and collaboratively in a team environment.
  • Comfortable working remotely with access to cloud-based software.
