Communications / Information Specialist

Job Objective:

  • Monitor and manage staff and client communication channels.
  • Respond appropriately to messages, refer them to management when necessary, or document the information accurately.
  • Interface with management to ensure timely action on communications requiring their attention.

Key Responsibilities

Slack Communication

  • Utilize all Slack channels effectively.
  • Adhere to the company’s communication style and guidelines.
  • Send daily reminders to cleaning technicians.
  • Provide real-time accountability feedback when processes and procedures are not followed.
  • Problem solve to ensure technicians have answers to questions within minutes, using different systems to acquire necessary information.
  • Document and address job notes, problems at job sites, pet-related issues, and emergency communications.
  • Handle photos of equipment, watches, and other documentation as required.
  • Quickly, urgently, and accurately respond to communication, within 2 minutes of each received message.

Textline Communication

  • Use Textline efficiently as a primary communication tool
  • Adhere to the company’s communication style.
  • Address client questions for technicians, breakages, entry problems, schedule changes, delays, and add-ons.
  • Notify clients about freebies and provide suggestions for referrals or cleaning tips.
  • Communicate issues that occur in homes to clients and problem solve, as needed.
  • Respond to inbound messages or notify appropriate department when a message requires their attention within 2 minutes of receiving it.

Monitoring and Documentation

  • Ensure technicians are on time by monitoring schedules and communication.
  • Verify required communication is sent for each clean.
  • Review before-and-after photos in Company Cam and verify all photos were submitted, and after photos don’t show any missed areas.
  • Record notes in client files based on communications from technicianx or clients.
  • Use company software for documentation and task management.

Admin/Other Tasks

  • Other tasks as assigned. May include but are not limited to 

Requirements

  • Strong communication skills with attention to detail.
  • Proficiency in using Slack, Textline, Jobber, Responsibid, Freshdesk, and Company Cam (or ability to learn quickly).
  • Ability to prioritize and respond to communications effectively.
  • Familiarity with managing and documenting processes in a remote environment.
  • Comfortable with holding someone accountable when processes are not followed.
  • Strong written and verbal communication skills.
  • Ability to multi-task and handle multiple threads of communication simultaneously.
  • Strong problem solving abilities and initiative to present solutions for repeat issues.

  • Client Relationship: You will be directly working with the client. This means that you will communicate with the client, provide services, and address any client-related matters independently.
  • Payment: All payments for your services will be handled directly by the client. Elevate and Delegate is not involved in processing your payroll. Your salary will directly go to you.
  • Vacation Leaves and Holidays: While we may have recommendations or guidelines regarding vacation leaves and holidays, the decision is entirely at the discretion of the client. You are expected to align your schedule with the client’s business needs and any specific policies or preferences they may have in this regard.

Salary: $800 / month
Schedule: 8am – 6pm PST
