Executive Assistant
- Coordinate and manage the CEO’s calendar, including meeting scheduling, prioritization of commitments, and ensuring time is allocated to high-impact work
- Plan and manage complex travel logistics, including flights, accommodations, ground transportation, and itineraries
- Draft, edit, and proofread internal and external communications, including emails, memos, documents, and presentations on behalf of the CEO
- Monitor and respond to incoming correspondence and requests, ensuring timely and appropriate follow-up
- Prepare agendas and coordinate logistics for internal and external meetings; distribute materials and track follow-ups
- Support strategic initiatives by tracking deliverables, timelines, and milestones for key projects assigned by the CEO
- Provide administrative support including expense reporting, invoice processing, and coordinating with vendors
- Maintain confidential records and organize internal information systems; ensure internal file storage is consistently structured and up to date
- Provide light IT support to employees across the organization, including troubleshooting basic technical issues and liaising with external IT providers when needed
- Coordinate internal company events, including logistics and communication with stakeholders
- Support the CEO with select personal priorities and logistics, as needed
- Contribute to operational improvements that streamline executive workflows and strengthen internal systems
Requirements
- 2+ years of experience in executive support, operations, or fast-paced administrative roles
- Highly organized and detail-oriented, with the ability to manage complex schedules, shifting priorities, and project timelines independently
- Strong written and verbal communication skills; fluent, confident, and professional in English
- Proactive and assertive: able to clarify priorities, hold others accountable, and offer solutions without waiting to be asked
- Tech-savvy, with proficiency in tools such as Google Workspace, Microsoft Office, Zoom, and a willingness to learn new platforms quickly
- Experience with internal file storage tools (e.g., Egnyte) is a plus
- Strategic thinker with the ability to see the bigger picture and anticipate next steps
- Calm under pressure and able to navigate high-stakes situations and tight deadlines with sound judgment
- Trustworthy, discreet, and professional in handling sensitive or confidential matters
- A self-starter who thrives in autonomy, takes initiative, and brings clarity to ambiguity
