What You’ll Actually Be Doing

You won’t just manage a calendar or send reminders.
You’ll take ownership of project, proposal, and process execution — working directly with founders to keep engineering operations tight and client-facing materials world-class.

You’ll take ownership of:

1. Project Coordination & Process Implementation
● Work with founders to roll out and optimize project management systems
● Coordinate across teams to ensure timelines, deliverables, and status updates stay on track
● Identify workflow inefficiencies and propose improvements

2. Proposal & RFP Development
● Prepare, design, research, and submit RFPs and proposals for engineering projects
● Manage deadlines, compliance requirements, and submission formatting
● Maintain and organize proposal templates, assets, and case studies

3. Design & Collateral Creation
● Create visually compelling one-pagers, case studies, pitch decks, and internal materials
● Use Adobe InDesign to maintain a professional, on-brand aesthetic
● Support the founders with visual storytelling that wins clients

4. Admin Operations & Founder Support
● Manage client correspondence, internal communication, and scheduling through G Suite
● Oversee data entry, database updates, and administrative workflows
● Maintain organized digital systems that allow the team to operate at scale

5. Marketing & Social Media (Future Growth Area)
● Support future marketing initiatives including content planning and social media presence
● Coordinate scheduling and engagement using basic marketing tools as the brand expands

Requirements

  • Executive assistant or administrative support experience (must-have)
  • Proficiency in Adobe InDesign for graphic design and marketing material creation (must-have)
  • Strong project management skills with experience implementing organizational systems (must-have)
  • Experience with RFP preparation and proposal writing, preferably in professional services
  • Highly intuitive and proactive approach with excellent written and verbal communication skills (must-have)
  • Familiarity with engineering or construction industry terminology and social media management (nice-to-have)
